Trust Assistant - Nashville


This position primarily provides trust support to a senior Nashville Trust Officer and secondarily provides executive and general support to the President and other office staff.


Primary Tasks & Duties

  • Support senior Nashville Trust Officer in all areas related to trust and foundation account administration, including exceptional client service, attending meetings and responding to client requests, processing distribution and bill payments ensuring all requirements and deadlines are met, and assisting with any account administration needs as needed
  • Coordinate account transfers by gathering client signatures, sending transfer letters, coordinating with outside investment firms, reconciling asset transfers, documenting special asset transfers and ensuring compliance documentation of new accounts
  • Daily monitoring of cash balances in trust accounts and coordinating cash transfers with investment firms to ensure adequate liquidity
  • Meticulously maintain account documentation, keeping account files well-organized and labeled
  • Support trust compliance and account reviews
  • Assist in tax preparation by gathering required tax information, entering tracking information into system, coordinating with outside CPA firms and processing quarterly tax payments
  • Act as executive assistant to President, including by drafting correspondence, sending mail, scheduling appointments, ordering lunches, and handling special projects
  • Office reception duties, including greeting visitors, answering incoming calls, maintaining office common areas, ordering office supplies and acting as point of contact for various office vendors


Requirements/Preferences

  • Undergraduate degree
  • One to two years of office experience preferred, ideally in the trust/financial services area
  • Superior verbal and written communication skills
  • Ability to provide exceptional client service and maintain client confidentiality
  • Ability to work independently and problem solve
  • Detailed oriented, while conscious of big picture
  • Ability to organize, prioritize and meet deadlines
  • Computer skills, including Email etiquette and familiarity with Excel, PowerPoint and MS Office
  • Salesforce and trust accounting system experience preferred
