1808-8 Trust Assistant

Pendleton Square Trust Company, LLC is seeking a Trust Assistant for its Nashville Office. This position is responsible for supporting Trust Officers and Operations, and for acting as primary coordinator of account transfers.

 

Responsibilities

  • Provide administrative and clerical support for Trust Officers, including tasks such as running reports, gathering necessary documentation for discretionary distributions, preparing correspondence, assisting with special asset oversight and responding to client requests
  • Support trust operations by completing assigned work request for account maintenance, entering disbursements, entering receipts and deliveries, assisting with client online portal access, and acting as backup to Operations Manager
  • Coordinate account transfers by gathering client signatures, sending transfer letters, coordinating transfer process with outside investment firms, reconciling asset transfers, documenting special asset transfers, and ensuring compliance documentation of new accounts
  • Provide reporting on account transfer status to management and operations
  • Monitor cash balances in trust accounts and coordinate transfers with investment firms
  • Assist in coordination of tax reporting, providing tax information to CPA partner, and processing quarterly tax payments
  • Support business development by scheduling appointments, logging telephone calls, entering pipeline information into database and preparing and maintaining marketing materials
  • Maintain excellent and well-organized records, and assist Trust Officers with maintaining well-organized account files on online document system
  • Maintain regular communication with all offices
  • Assist in office management responsibilities, such as answer phones, greet visitors, and process incoming and outgoing mail  
  • Maintain client confidentiality and information system security

 

Requirements/Preferences

  • Undergraduate degree preferred
  • Superior verbal and written communication skills
  • Ability to work independently and problem solve
  • Detailed oriented, while conscious of big picture
  • Ability to organize, prioritize and meet deadlines
  • Computer skills, including Excel, PowerPoint and MS Office
  • Salesforce experience preferred
